Privacy and data handling
This policy explains the information Fill In Board uses to provide accounts, Maps, Boards, collaboration, recovery, and authorized activity history.
Information stored
- Account identity, email address, password verification data, and session information.
- Invitations, Board permissions, and access-level changes.
- Private Maps, uploaded images, Board configuration, and saved deployments.
- Incident names, apparatus state, operational messages, and lifecycle information.
- Security and authorized activity records, including bounded support references.
How information is used
Information is used to authenticate accounts, authorize Board access, save user-requested content, synchronize live incidents, recover recent closed work, investigate failures, protect the service, and provide incident history to authorized users.
Retention
| Information | Current retention behavior |
|---|---|
| Closed incident Board state and messages | Recoverable for up to 24 hours; starting the next incident or archiving removes the recoverable content. |
| Authorized activity records | Retained for 90 days. |
| Archived incident summaries | Retain names and lifecycle times, but not detailed Board state or messages. |
| Maps and Boards | Retained until removed through the applicable owner workflow, subject to stated Trash and snapshot behavior. |
Service providers and sharing
The service may use infrastructure providers for application hosting, object storage, email delivery, monitoring, and backups. Information is not made public by default. It is shared through the service only as required to operate it, comply with law, protect the service, or provide Board access authorized by users.
Browser storage and cookies
Authentication uses cookies. The application also uses browser storage for preferences such as Map views, guided-editor state, recovery information, and dismissed announcements. These controls support application behavior rather than third-party advertising.
Available controls
Users can update their profile information and password from Profile. Owners can rename or remove Maps, delete owned Boards, revoke invitations, and remove Board permissions through the applicable management screens. Confirmation steps explain when an action permanently removes associated information.
Policy changes
Material changes should be accompanied by an updated review date and an appropriate in-application or public release notice.
